Setting up technology for conference has, paradoxically, got easier and more difficult over the years. At least these days there are widely-known standards for presentations and display technologies so at least there are fewer pieces of equipment to test. What makes it harder is that every element of presentations is becoming to become increasingly computer-driven, and often speakers need assistance in using such technology.
What level of support is offered by the conference venue you have hired? If you are using a full-time conference venue, or a venue that has lots of experience in presentational conference then you will most likely find that there is in-house support for the audio-visual technology installed in the venue. In this instance you can be relatively relaxed – at least the technology which they normally use should be working correctly.
Testing the Technology
Testing is of high importance during the preparation of your conference. Ideally, you should gather the presentation requirements of every speaker and test every location to make sure it will be sufficient. This should be done at least a day before the conference in case there are any problems, so that fixes can be implemented in time. Ensure that the speaker’s laptops can connect to the technology; there should be SVGA, S-Video and HDMI as a minimum for laptops and composite videos.
If any speakers are planning to show a video, DVD or other type of audio-visual content then it will most likely be displayed via a computer. As long as a projector displays a powerpoint presentation, it will display a DVD played on a laptop DVD drive. Some speakers will bring in tapes or video cassettes, in which case you need to provide the appropriate player, and ensure the projector has a SCART interface.
Wireless and Internet Connectivity
Some conference speakers may expect internet connectivity at the conference. If your conference venue doesn’t have a wireless network then there is little you can do. Mobile networks are one solution – where a mobile phone can be used as a modem. You can also get 3G USB dongles which allow wireless connectivity over the mobile phone network.
It’s best to let speakers know about the technological facilities available so they can make other arrangements, should their technology of choice be out of action. For this reason it can be a good idea to conduct the technology testing more than one day before the conference, so the speakers have enough time to make other arrangements.
